Our Banner Sponsorship Program raises funds for the FVYCE, while providing local businesses an opportunity to showcase their brand.

The banner sponsorship program invites local Fort Valley and other regional businesses to sponsor a banner that will be displayed along the fence perimeter of the Fort Valley Youth Center of Excellence. This fundraising program is designed to enhance community engagement, promote local businesses, and generate funds for ongoing FVYCE projects.

This banner sponsorship program is designed to be a mutually beneficial opportunity for both the sponsoring businesses and the community. By supporting local projects and receiving widespread brand exposure, sponsors can make a lasting impact and foster stronger community ties.

1. Banner Specifications

Standard Size Options:

  • Small Banner: 3 ft x 5 ft (suitable for smaller spaces)
  • Medium Banner: 4 ft x 8 ft (for moderate visibility areas)
  • Large Banner: 5 ft x 10 ft (ideal for high-traffic and prominent areas)

Material:

Durable, weather-resistant vinyl with reinforced edges and grommets for secure installation.

Design:

Sponsors can provide their artwork or use the assistance of a designated designer for a small additional fee.

2. Sponsorship Fees

The fees for participating in the program will vary based on the size and placement of the banner:

Small Banner (3 ft x 5 ft):

  • Fee: $500 per 6-month period
  • Prime Locations: Smaller spaces like entrance ways or side fences

Medium Banner (4 ft x 8 ft):

  • Fee: $750 per 6-month period
  • Prime Locations: Mid-level visibility areas, such as the sidewalls of buildings or interior event areas

Large Banner (5 ft x 10 ft):

  • Fee: $1,000 per 6-month period
  • Prime Locations: High-traffic locations like main fences, central sports fields, or main entrances to venues

  • Increased Brand Visibility: Banners will be prominently displayed in locations that receive a high volume of daily visitors.

4. Terms and Conditions

  • Duration: The standard sponsorship duration is 6 months, with options to renew for additional periods.
  • Installation and Maintenance: The program will handle installation and maintenance to ensure the banners remain in excellent condition.
  • Artwork Approval: All banner designs must be pre-approved to align with community standards.

5. Additional Promotion Options

  • Digital Recognition: Businesses can also receive shout-outs on the organization’s social media pages and newsletters for an added fee.
  • Event Partnership: Sponsors may opt to have their banners featured at special events for a one-time premium charge of $150.

6. Enrollment Process

  • Registration: Businesses complete an online or in-person application form.
  • Artwork Submission: Provide artwork or request design assistance.
  • Approval & Payment: Artwork is approved, and payment is processed.
  • Installation: Banners are installed within 2 weeks of approval.

Facility Rental Space Program

This program outlines the rental process for our facility, detailing rental rates, policies, procedures for entry and lock-up, non-permissible items, a checklist for renters, and associated fees including custodian services.

1. Hourly Rental Rates

  • Standard Rate: $50/hour
  • Non-Profit Organizations: $40/hour (with valid documentation)
  • Peak Hours (Weekends/Evenings): $65/hour

Additional Amenities (optional):

  • Audio/Visual Equipment: $25 flat fee
  • Conference Room Setup: $30 one-time fee

2. Entry and Lock-Up Procedures

Entry Procedures:

  • The renter will receive a temporary access code or a key card valid for the rental period.
  • Upon arrival, renters must check in with the facility's digital log system or inform the designated contact.
  • Renters must ensure that the main doors remain closed to prevent unauthorized access during the event.

Lock-Up Procedures:

  • After use, renters are responsible for turning off all lights and electronics.
  • All trash must be placed in designated bins.
  • Secure all windows and lock all doors using the provided instructions.
  • Return the key card or ensure the access code is no longer valid after use by confirming via a designated mobile app or manual notification.

3. Non-Permissible Items

  • Flammable or hazardous materials (e.g., fireworks, open flames, etc.)
  • Illegal substances or activities
  • Weapons of any kind (unless pre-approved for licensed security services)
  • Pets (except for service animals)
  • Loud music or noise levels exceeding the local noise ordinances
  • Decorations that may damage walls, ceilings, or floors (e.g., tape, nails)

4. Checklist for Renters

Pre-Event Checklist:

  • Confirm receipt of access code/key card.
  • Check that the facility is in clean and acceptable condition before starting.
  • Ensure all necessary equipment (tables, chairs, AV equipment) is present.

Post-Event Checklist:

  • Turn off all lights and equipment.
  • Collect all personal belongings.
  • Clean up the space, returning it to its original condition.
  • Take out any trash produced during the event to the facility’s outdoor bins.
  • Verify that windows and doors are secured.
  • Return the key card or ensure the access code is invalidated.

5. Fees for Custodian Services

  • Standard Cleaning Fee: $75 for up to 3 hours.
  • Additional Hours: $25/hour if extended cleaning is required.
  • Deep Cleaning (if needed after certain events): $150 flat rate.

Note: Custodian services are mandatory for any event exceeding 4 hours or involving food/drinks. This ensures that the facility remains in top condition.

6. Policies and Procedures

  • Booking: Reservations must be made at least 2 weeks in advance and secured with a 50% deposit.
  • Cancellations: Cancellations made within 48 hours of the event will forfeit the deposit.
  • Damage Policy: Any damage to the property or equipment will be billed to the renter. A refundable damage deposit of $200 may be required.
  • Insurance: Renters may need to provide a certificate of liability insurance, naming the facility as an additional insured for larger events.
